UsedCarBase ("we", "us", "our") respects your privacy and is committed to protecting personal data you share with us. This policy explains what we collect, how we use it, and your rights under the EU General Data Protection Regulation (GDPR) and the Ghana Data Protection Act, 2012 (Act 843).

When you contact us via WhatsApp, the inquiry form, or email, we receive information you choose to provide:

• Contact details: name, WhatsApp number, email address, business name (if applicable)
• Location preferences: Ghana city or region of interest
• Vehicle preferences: make, model, year, budget range, intended use
• Service interest: Self-Operated / Agency Export / Multiple containers
• Conversation history with our team for the purpose of providing service

We do not automatically collect personally identifying information from website visitors beyond standard server logs (IP address, browser type, pages visited) which are used for security and aggregate analytics only.

2. How We Use Your Data

Information you provide is used solely to:

• Respond to your inquiry within our stated 24-hour window
• Source vehicles matching your stated preferences and budget
• Process documentation, customs clearance, and shipping logistics for any container you commission
• Provide ongoing after-sale support including warranty service and mechanic referrals
• Send transactional updates (vehicle status, container ETA, document delivery) related to your active inquiry or order

We do not sell, rent, or share your personal data with third parties for marketing purposes. We do not send unsolicited marketing messages.

3. Third-party Sharing (Operational Necessity)

To deliver vehicles to Ghana, we share necessary information with operational partners on a need-to-know basis:

• Chinese export customs authorities (statutory requirement for export documentation)
• Sea freight forwarders (bill of lading recipient details)
• Tema port clearing agents in Ghana (consignee information for customs)
• Inspection providers (where you have requested independent third-party inspection)

Sharing is limited to information strictly required for the specific operational purpose. Partners are bound by confidentiality terms in our service agreements with them.

4. Data Retention

We retain inquiry and transaction records for the duration required by Ghana commercial and tax law (typically 6 years from the date of the last transaction) for accounting and dispute resolution purposes. After this period, records are securely deleted unless required by law to be retained longer.

5. Your Rights

Under GDPR (if you are an EU resident) and the Ghana Data Protection Act, you have the right to:

• Request a copy of the personal data we hold about you
• Request correction of inaccurate data
• Request deletion of your data (subject to legal retention requirements)
• Object to specific uses of your data
• Withdraw consent for ongoing communications at any time

We use industry-standard measures to protect your information: TLS encryption for all form submissions and email, restricted access to inquiry records (only authorised team members), and regular security review of our hosting infrastructure.

If we update this policy, the revised version will be posted here with the "Last updated" date changed. Material changes affecting how we use existing data will be notified to active customers via WhatsApp or email.
